What you need to know
Writing task 1 is successful when the recipient can understand the situation and act. The message must fit the relationship, perform every requested action, organise practical details, and remain within the official task constraints. Elegant phrases cannot compensate for missing information.
Use the same Pack Ayoub process on invitations, requests, explanations, announcements, arrangements, and personal news: convert the instruction into a checklist, assign one function to each paragraph, draft directly, and review completeness before grammar.
Decode the instruction into visible actions
Circle the relationship between writer and reader, underline every action verb, and list the details required for the reader to respond. A prompt may ask you to explain a change, propose another arrangement, and request confirmation. Those are three separate obligations.
Choose the register from the situation. A message to a close friend can be warm and direct. A first request to a landlord, school, or organisation needs a polite opening, precise information, and an appropriate close. Formal does not mean obscure; it means controlled distance and clear courtesy.
Give every paragraph a practical function
Open with the reason for writing. Use the middle to deliver required information in a logical order: situation, relevant detail, proposed solution, and question. Close with the next action you expect. This structure helps the reader and makes omissions easier to detect.
Select details, do not dump them. A date matters if it changes the arrangement; a long history of how you discovered the problem probably does not. Ask whether each sentence helps the reader understand, decide, or act.
Draft for accuracy you can control
Use clear sentence patterns and precise verbs. Vary connectors only when the relationship is real: cause, consequence, contrast, sequence, or addition. If a sentence contains several ideas and you lose control of pronouns or agreement, divide it.
Reserve the final minutes for a fixed review order: required actions, recipient and register, chronology and references, verb forms and agreements, spelling, punctuation, and length. Rewriting the whole message at the end usually creates more errors than it solves.
The task 1 checklist
| Decision | Question | Visible proof |
|---|---|---|
| Recipient | Who will read this? | Greeting, pronouns, and closing match the relationship |
| Purpose | Why am I writing? | The opening identifies it immediately |
| Actions | What must the message do? | Every instruction verb has a corresponding sentence |
| Details | What does the reader need? | Dates, place, reason, condition, or contact method are precise |
| Next step | What should happen now? | The final request or confirmation is explicit |
Original Pack Ayoub example: change an appointment
Practice exercise
You have an appointment with a training adviser on Tuesday morning, but your work schedule has changed. Explain the problem, suggest two alternatives, and ask for confirmation.
Suggested answer
Subject: Request to change Tuesday’s appointment Hello Ms Patel, I am writing about our appointment scheduled for Tuesday at 10 a.m. My employer has just asked me to attend an essential meeting at the same time, so I will unfortunately be unable to come. Would it be possible to meet on Tuesday after 3 p.m. instead? I am also available all day on Wednesday if that is more convenient for you. The meeting can take place online or at your office. Could you please confirm which option works best? I apologise for the change and thank you for your understanding. Kind regards, Samir Ahmed
Why this answer works
The opening identifies the exact appointment and problem. The middle gives two usable alternatives plus format flexibility.
The final question tells the adviser what response is needed. The register remains polite without using inflated language.

Frequently asked questions
What types of messages appear in writing task 1?
Prepare the operations found in practical personal and administrative messages: inform, invite, request, explain, propose, apologise, confirm, and organise.
Should task 1 always be formal?
No. The relationship and situation control the register. Keep the content clear in every case, then adjust greeting, pronouns, courtesy, and closing.
What should I review first?
Check that the message performs every requested action. Then review organisation and high-frequency language errors. A polished message that misses one instruction remains incomplete.
